Online booking for hairdressers, salons and studios: fewer calls, fewer no-shows

With online booking, customers choose a free appointment themselves, receive a confirmation and a reminder, and you answer fewer calls while standing at the chair. Reminders and clear cancellation rules also reduce appointments that get forgotten, known as no-shows. This article shows the features, calculates the time saved with assumed figures and names what to check before you choose.

What does online booking do in a salon?

The booking page replaces the phone call at the counter. The customer opens your page, chooses the service and the person and sees only free times. The system then takes over the routine:

  • Free times per service: duration, buffer times and breaks are stored, so only suitable slots appear.
  • Confirmation and reminder: by email or SMS, with a link to reschedule or cancel.
  • Team calendars: each person has their own calendar, and a booking blocks the time at once.
  • Deposit (optional): for services with a high no-show risk, through a payment provider.

What do you save per week?

The saving depends on how busy you are. The following worked example rests on assumed figures and is not a statement of experience. Put in your own values.

In this example an hour and a half of phone time and three quarters of an hour of chair time add up each week. They do not replace your work, but they give time back for customers.

How do team calendars and services work?

With two or more people, the system must know who offers what. A men's haircut can be booked with the whole team, a colouring only with qualified people. Breaks, training days and holidays stay out of the free times. When a time is booked, it disappears from all affected calendars at once.

That is the most common reason a shared paper or spreadsheet calendar fails: nobody updates it fast enough. A booking system does it in the second the booking is made.

How do you handle reminders, cancellation rules and deposits?

The reminder is the simplest measure against forgotten appointments. A short message the day before, with a link to reschedule, lets customers change the appointment without a call. It belongs to the booked service. If the message contains advertising, the stricter rules of § 7 UWG apply and you need consent.

A deposit or cancellation fee can make sense for long services. Set it in advance, visibly in the booking flow and at a reasonable level, and say clearly when it is refunded. If in doubt, seek legal advice. The system processes personal data under the GDPR: clarify data processing agreement and storage location.
