Digitalisation for trades and practices in Saxony starts with a clearly defined workflow, such as customer enquiries for a trade business or safely managed appointments for a practice. Choose a first stage you can finance without an approved grant.

This article explains how to choose that starting point, work with existing software and assess the current funding position. We follow possible workflows in a trade business and a practice.

Where should trades and practices in Saxony start digitalising?

Start where information is entered repeatedly or enquiries wait without a clear next step. Choose a problem your team recognises and a workflow you can observe from beginning to end.

Consider a painting business with five employees. The owner receives an enquiry by phone, photographs arrive later through messaging and the address sits in an email. The immediate problem is not calculating the price. It is the absence of a shared record connecting those details to a responsible person.

A simple digital enquiry list may be enough. It records what was requested, which information is missing and when the office should call back. CRM stands for customer relationship management and describes software for managing customer relationships. In this business, its most useful role would be keeping enquiries and next actions together.

A practice has a different starting point. Its team could first assess which administrative appointment types it may allocate using agreed rules. General CRM software replaces neither patient records nor clinical judgement. Selection should therefore begin with the existing practice management system and approved procedures.

Write the current workflow in ordinary sentences. Who receives the enquiry? What is checked? Who decides? When is the case complete? Our guide to digitising business processes explains this preparation in more detail.

How does a trade enquiry become a reliable order?

A reliable workflow connects the enquiry to clarification, quotation and handover. Software supports these steps while the responsible people keep the professional decisions.

In the painting business, the office first records contact details, location and requested work. Photographs can help prepare a site visit. They do not automatically replace measurement or an assessment of the surface. If the scope is unclear, the enquiry gets the status “clarification needed” instead of immediately receiving a work appointment.

After the visit, a qualified person prepares the quotation. If it changes, the business needs to know which version the customer accepted. Only then does the delivery team receive the agreed scope, appointment and necessary documents. Additional work needs its own clarification step.

The authoritative system is the place whose information takes precedence when records conflict. If the office confirms the job in the business system, a private calendar note must not create a second, contradictory promise. Agree where changes are recorded and who informs affected employees.

A manageable sequence is sufficient for the first stage: record the enquiry, clarify missing details, approve the quotation, document acceptance and hand over the order. Also test a customer cancelling by telephone. The cancellation must reach the same record as the original enquiry.

What should a practice consider when offering digital appointments?

A practice should offer only approved appointment types and design information flows for the healthcare setting. Asking for fewer details does not by itself remove data protection concerns.

An administrative appointment request may already reveal information about the use of healthcare services. Under the General Data Protection Regulation, or GDPR, health data requires particular conditions for processing. Article 9 sets out those conditions. The official regulation and the European Data Protection Board's explanation provide the basis. Checked on 13 October 2026.

Imagine a practice allowing patients to request selected follow-up appointments online. Staff agree which appointment types are suitable and which require their own decision. The form does not need an open field for symptoms, diagnoses or treatment documents. The practice must still assess access rights, the legal basis and the service providers involved.

Staff confirm the request in the existing system or ask a follow-up question. Rescheduling and cancellation must also reach that system. If an interface, meaning an agreed method for exchanging data between programs, is unavailable, a checked manual handover is more useful than a promise of automatic integration.

For urgent or clinical concerns, the practice provides its own approved contact routes. General booking software should not decide how urgently someone needs treatment. During rehearsal, staff should be able to recognise when the software deliberately returns a case to them.

Which digitalisation funding remains available in Saxony?

New applications for the programme “Digitalisierung Zuschuss EFRE 2021 bis 2027” currently depend on location. EFRE is the German abbreviation for the European Regional Development Fund; the responsible funding body is Sächsische Aufbaubank, or SAB.

On 13 October 2026, the SAB programme page still lists the suspension of new applications from 17 July 2026 for Dresden, Chemnitz and the districts of Bautzen, Görlitz, Meißen, Sächsische Schweiz-Osterzgebirge, Erzgebirgskreis, Mittelsachsen, Vogtlandkreis and Zwickau. Applications remain possible in Leipzig city, Leipzig district and Nordsachsen. This does not constitute individual grant approval.

Small and medium-sized enterprises, or SMEs, and members of the liberal professions with an eligible registered office or establishment in Saxony are among the intended applicants. Project type, business size and eligible expenditure still need to match: introductory projects are reserved for micro-enterprises, while transformation projects are also open to small and medium-sized enterprises. The funding guideline, particularly sections 1.3, 3 and 4, explains the conditions and confirms that there is no entitlement to a grant.

For a business in Leipzig, this means describing the existing workflow and proposed project before assessing the funding conditions. SAB requires that the project must not start before its application confirmation email arrives. Signing contracts or making advance payments can count as a start. Receipt confirmation must not be confused with approval.

How can you budget for setup and operation without an approved grant?

Make the first stage affordable with its setup, introduction and operating costs even without funding. A potential grant can inform the decision, but it should not conceal a financing gap.

For a small trade business, the budget includes system setup, cleaning existing contact records and time for staff training. Agreed operating services and subscriptions from other providers may also be needed. A low initial price loses its advantage if nobody maintains the information or staff permanently operate two calendars.

WebDrift System Start costs €1,900 as a one-time payment. The Business System with CRM, dashboard and integrations costs €2,900 as a one-time payment; larger operations platforms are quoted on request. After the first 30 days of support, hosting and support at €149 per month are optional and cancellable monthly. Agree the scope before placing an order, particularly for practice-software integration.

Assess our business systems against the workflow you need. Also document who handles internal tasks and how work continues during a fault. Beforehand, check whether contacts, orders and appointment details can be exported in a usable format.

Financial savings and time savings are different results. When office staff spend less time asking follow-up questions, the immediate result is available working time. Whether that reduces expenditure or allows more orders depends on your organisation. Avoid assuming a fixed return without measuring your own workflow.

How should you test the first workflow before introducing it?

A rehearsal should demonstrate that the workflow handles exceptions, staff cover and outages. Decide beforehand what outcome you expect and who approves the introduction.

In the painting business, every test enquiry needs a traceable next action. In the practice, rescheduling must not leave the same appointment in two calendars. You can compare the essential questions across both settings.

Test questionTrade businessPractice administration
Which record takes precedence?Agreed order systemAssessed practice management system
Who handles exceptions?Office and technical specialistApproved practice staff
What needs personal clarification?Unclear work scopeUnapproved appointment type
What demonstrates success? No unattended enquiryNo conflicting appointment confirmation

These comparisons show two different priorities. A trade business needs to clarify work scope, while a practice needs appropriate appointment allocation. Both require an authoritative record and a named deputy. Discuss these arrangements with the team and test them in practice.

  • A limited workflow and its intended outcome are described.
  • The responsible person and deputy are named.
  • Existing software and possible interfaces have been assessed.
  • An exception, cancellation and outage have been rehearsed.
  • Data access and operating costs are clear.
  • The first stage is affordable without unconfirmed funding.

Conclusion: Start with a small, reliable workflow

Digitalisation becomes useful when your team can complete a case and knows who is responsible. Trade businesses need clear order handovers; practices need suitable rules for appointments and information. Plan funding and operation independently of a grant decision that is still pending. Bring your workflow description to a conversation with WebDrift to discuss a suitable first step.

FREQUENTLY ASKED QUESTIONS

Answered briefly.

01Must a practice replace its existing software?
Not automatically. First assess which appointment types and interfaces the existing practice management system supports and which information flows have been approved.
02Are appointment details always ordinary contact data?
No. Organising an appointment can reveal health information. A practice must assess the actual information flow and conditions for processing.
03Can a Dresden business currently submit a new application?
For Digitalisierung Zuschuss EFRE 2021 bis 2027, SAB lists a suspension for Dresden from 17 July 2026, still in place on 13 October 2026. Other programmes and later changes require separate checks.
04Is application receipt sufficient for financing?
No. SAB receipt confirmation concerns the permitted project start; it is not individual approval of the grant.
05Is ongoing WebDrift support compulsory?
No. After the first 30 days of support, business-system hosting and support at €149 per month are optional and cancellable monthly. Larger platforms are quoted on request.
