Anyone who is with a customer or on a job site cannot answer the phone; to keep that from becoming a lost enquiry, small businesses need a second route to contact: click-to-call and a callback form on the website, a greeting or message pointing to them and a fixed time for the return call. The building blocks are simple and can be introduced step by step.

Why do missed calls cost customers?

Someone who calls a business usually needs something, and soon: a repair, an appointment, a quote. If they reach nobody and get no hint how to proceed, they often ask the next business. This weighs especially heavily in trades and services, where you often cannot answer the phone exactly when demand comes: on the ladder, in the cellar, at the chair.

Reliable figures on how many customers are lost can only come from your own experience. For a week, count missed calls and check how many were returned. That shows how big the issue is for you.

How do you set up click-to-call and the callback form?

A click-to-call button is a phone link: on a smartphone a tap is enough and the device dials your number. Place it large and visible, not only in the legal notice.

The callback form should be short: name, phone number, request and a preferred time. Confirm receipt at once with a message and say by when you will reply. Point out purpose and storage of the data in the form, as the GDPR requires. Also decide who reads the form entries and when: a form nobody opens is worse than no form.

What do a greeting and auto-reply achieve?

A voicemail greeting says that you are working at the moment and names your web address with form or booking link and the time of the return call. Many business messengers offer away messages that you set up yourself. A sentence such as "Thank you for your message, we will get back to you by 5 pm" keeps many customers from ringing a competitor straight away.

Keep automatic messages neutral. You do not need advertising, and under § 7 UWG it requires consent. Do not record calls without consent. This is not legal advice.

When do a chat assistant or phone assistant pay off?

A chat assistant on the website answers common questions, such as service area or services, and leads to the form or booking. An AI phone assistant takes calls.
