Blue glass blocks form a connected processing chain in space, with a small amber error branch.AI & automation

Build an n8n workflow for everyday use by starting with test data, then checking input security, error handling, data storage and ownership. We follow a website enquiry into a CRM and show which evidence you need before switching it on.

As of: 15 October 2026

What should you decide before adding the first node?

Write down what starts the task and how the office recognises completion. Our example is a proposed implementation plan for a small service business, rather than an account of a customer project.

After validation, an enquiry should reach the CRM, the software holding customer contacts and business records. The sender then receives a factual acknowledgement, and an internal notification points to the new record. A quotation or appointment promise should require a separate decision.

Specify the necessary fields: enquiry ID, name, email address and message. Decide who follows up incomplete information and which system holds the authoritative record. Our guide to connecting a website with a CRM explains the business context.

You need a maintained n8n instance, a server-side form receiver and test credentials for the CRM and email service. Server setup is a separate task. If tool selection remains open, start with our comparison of n8n and other automation tools.

How do you build an n8n workflow and test it step by step?

Start with a Webhook trigger and add processing steps individually. A node performs a task; connections define the route that data takes between tasks.

A webhook receives an event notification from another system. The n8n Webhook documentation distinguishes Test URL from Production URL: select “Listen for Test Event” for testing; publishing registers the production endpoint. Our webhook guide explains the underlying idea.

Create a named workflow, add Webhook and select POST as the method for this plan. Send invented details through the server-side form receiver to the Test URL. Examine the structure that actually arrives before mapping fields.

Node or sectionPurpose in this planSetting or result to check
WebhookReceive the enquiryPOST, correct test address, authentication
Edit Fields (Set)Give necessary fields consistent namesPass on selected fields only
IfValidate required fieldsEvery agreed condition must pass
Respond to Webhook on the invalid branchRequest correctionsClear error response, no CRM write
HTTP Request to the CRMSave or recognise an existing enquiryEndpoint, permissions, enquiry ID, response
Send EmailAcknowledge receiptValidated recipient, fixed wording, test mailbox
Internal notificationPrompt someone to actRecord reference instead of a full enquiry copy
Respond to Webhook on the valid branchReport the outcome to the form receiverBrief custom response without customer data

Edit Fields sets fields and can discard unwanted input; If branches using comparisons. For example, check that an ID and message exist and that the email address meets the agreed format. Connect the invalid output explicitly to a correction response, away from the CRM.

The HTTP Request node calls an application programming interface. Take endpoints and field names from your CRM documentation; this plan cannot supply a universal CRM request. Require reliable recognition of repeated enquiry IDs in the destination. If that is missing, add the necessary technical protection before going live.

Send Email uses an SMTP mail server. Map the node's To Email field explicitly to the validated address, and check which data remains available after the CRM step. A successful write alone does not establish that its response contains every original form field.

For a custom form response, select “Using 'Respond to Webhook' Node” in Webhook. Put the response node at the end of each branch in this simple design. The response waits for preceding steps, so check that this fits your form system's waiting limits.

How should you secure a webhook behind a public form?

Have the public form submit to your website backend, which then authenticates its request to n8n. The backend is the server-side part of the website; keep the shared secret and input checks there.

Webhook credentials support Basic Auth, Header Auth and JWT Auth. The Webhook node also offers an IP allowlist restricting sender addresses. Choose a method your server-side sender supports. Consider an IP list as an additional restriction when its outgoing address is fixed, and verify the address actually used.

Try correct, missing and incorrect credentials, checking that only the authorised sender reaches processing. Also test validation at the public form receiver. Authenticating the backend's connection to n8n does not replace that check. The linked Webhook documentation describes the available controls.

How do you make failures visible to the right person?

Create a separate error workflow and assign it to the main process. An alert becomes useful when a named person can turn it into a specific next action.

The n8n error-handling guide starts the separate process with Error Trigger. Add a notification, then select this process in the main workflow's Settings under “Error workflow”. Check the saved assignment.

Include the workflow name, affected step and an execution link where available. The documentation explains that some failure types provide no such link. Avoid full form contents in alerts, and plan a different notification route for an unavailable email service.

Initially publish the main workflow with test credentials for this controlled acceptance check. Call its Production URL through the server-side form receiver, using test contacts. The error documentation describes using a temporary Stop And Error node to force a failure. Remove the deliberate interruption before normal operation.

Test caseExpected behaviour in the proposed processAcceptance evidence
Valid enquiryCRM record, acknowledgement and internal notificationCompare the record and received messages
Required field missingCorrection response, no new CRM recordCheck the invalid branch and CRM
Incorrect webhook credentialsNo business processingNo CRM record or email
CRM access failsNo acknowledgement claiming successful recordingOwner receives the error alert
Email fails after CRM successExisting record remains a partial successComplete the missing email step deliberately
Same enquiry ID sent againNo second business recordDemonstrate protection in the CRM or added logic

The final row is not an automatic n8n guarantee. A preliminary lookup alone does not prove protection against simultaneous requests. Have the technical owner verify the destination's safeguards before permitting automatic retries.

Which execution data should you retain?

Save only what operation and troubleshooting require, and choose retention explicitly. An execution is one run; its technical record should not become a second permanent customer file.

Workflow Settings distinguish successful, failed and manual executions. As a starting point, we recommend avoiding persistent successful production data and keeping failure data only for a limited diagnostic period. Check storage of manual tests too.

For self-hosted instances, n8n's execution-data guide documents EXECUTIONS_DATA_SAVE_ON_SUCCESS=none and EXECUTIONS_DATA_SAVE_ON_ERROR=all. Pruning is enabled by default. By default, pruning applies when an execution finished more than 336 hours ago or the execution count exceeds 10,000. Deletion is staged, with exceptions including waiting and annotated executions.

Treat these as configuration defaults, rather than a guaranteed deletion deadline. Document the actual settings, inspect an old completed execution and consider other stores, including the CRM, mailboxes and backups, separately.

According to n8n's security page, n8n Cloud runs on Microsoft Azure in the EU, with credentials and the instance database stored on encrypted disk. This describes the platform, rather than establishing the handling of your complete data flow. Check connected services, access and necessary contents as well.

When is the workflow ready for daily operation?

After acceptance, replace the CRM and email test credentials with production credentials, release the main workflow for real enquiries and configure the regular sender with the Production URL. Then submit a fresh enquiry through the actual website without starting the editor's test listener.

Work through this launch checklist with the named owner:

  • Production address configured and checked at the server-side sender.
  • CRM and email test credentials replaced with production credentials.
  • Authentication tested, including rejected requests.
  • Invalid data stays outside the CRM write path.
  • Error workflow assigned and triggered by an automatic failure.
  • Partial success and repeated enquiry IDs handled deliberately.
  • Execution storage and retention configured explicitly.
  • Owner, deputy and notification route documented.
  • Manual fallback and stopping procedure recorded.

At an agreed interval, reconcile received enquiries with CRM records. A missing start could otherwise escape attention without a processing step reporting failure. Keep a one-page handover covering purpose, fields, credential references without secrets, storage rules and recovery. Our guide to automating customer enquiries covers the subsequent business handling.

Conclusion: how do you turn a test into an owned process?

A dependable launch needs verifiable outcomes for success, rejection and partial success. WebDrift's Automation Start costs from €790 once, optional monthly care starts at €99, and providers bill tool subscriptions separately; a general planning allowance is typically €20 to €150 per month, rather than a specific n8n tariff. We confirm in your written offer which steps fit the entry package for AI automation. To discuss implementation, start a project with your process and completed checklist.

FREQUENTLY ASKED QUESTIONS

Answered briefly.

01Does this process need an AI model?
No. Required fields, CRM recording and fixed acknowledgements can follow explicit rules. Add AI only when a specific task, such as classifying free text, justifies it.
02Why can I not see a live enquiry on the canvas?
With the Production URL, n8n does not display incoming data directly in the editor. Open Executions and take your storage settings into account.
03Must I publish the separate error workflow?
According to n8n, a workflow with an Error Trigger does not need publishing. What matters is assigning it to the main workflow and verifying a failure from an automatic execution.
04What if the CRM saves successfully but the email fails?
Treat this as partial success. Check the existing CRM record and complete the missing step deliberately, rather than creating another enquiry without checking.
05Can the execution log replace my customer records?
Use the CRM as the business record. Execution data supports troubleshooting and needs its own limited retention.
