An AI phone assistant is a voice-AI system that answers calls, speaks with the caller and recognises their request: the spoken input is converted into text, understood and spoken back out. The assistant handles standard questions, books appointments and hands over to a person when needed. Your phone is then covered outside office hours too.

How does the assistant hear and speak?

The technical chain has three stages: speech recognition (ASR) converts spoken language into text in real time, even with pauses, accents and poor telephone quality. The language model reads the text, knows the information stored about your business and decides what to say next. Text-to-speech (TTS) speaks the answer back into the line as a natural voice.

Between hearing and answering there are usually only a few seconds. The goal is a conversation that feels like talking to a composed receptionist rather than using a keypad menu.

How does the assistant recognise what the caller wants?

Behind every question there is an intent: requesting an appointment, asking about pricing, clarifying an invoice, making a complaint. The language model maps the conversation to an intent and derives the next action from it: an answer from the knowledge base, a clarifying question, a time proposal or a handover.

This is the main difference from a classic phone menu. There the caller presses keys; here the assistant understands the context and can also cope with phrasing that does not fit a script. Even so, the handover to a human is a core feature: for complex or emotional matters, a colleague takes over, ideally with a transcript of the conversation so far.

How does the assistant book appointments?

Once it is connected to your calendar or booking tool, appointment booking happens within the call: the assistant asks for the preferred time, checks availability, reserves the slot and confirms. The caller receives the confirmation, and the entry appears in your team's calendar. Special rules such as fixed consultation hours, buffer times or cancellation deadlines are stored as business rules that the assistant applies to every proposal.

When does a human take over the call?

The handover is not a system failure but a deliberately built-in step. It typically happens for complaints or contract questions, when the caller wants a personal conversation, or when the model cannot derive the answer from the knowledge base with confidence. It works best when the colleague can see the conversation so far and does not have to start from scratch.

Three points should be settled before launch:

  • Notice at the start of the call: the caller should learn that an AI is answering and which data is processed. The AI Act provides transparency obligations for AI systems that interact with people (Art. 50); check from when they apply to you.
  • GDPR: who processes the data, where is it stored, and is there a data processing agreement with the AI provider?
  • Recording: recording or transcribing calls without consent is problematic (compare § 201 StGB, German Criminal Code).

Is an AI phone assistant a fit for your business?

Check the following beforehand:

  • You miss calls outside office hours or during peak times
  • A recurring share of calls can be answered (prices, hours, address, appointments)
  • Your calendar or booking tool can be connected via an interface
  • There are criteria for handing over to a person (topic, urgency, the caller's wish)
  • You know which data arises in a call and who is responsible for it

Conclusion

An AI phone assistant does not replace your team but is a first point of contact that takes over recurring calls: standard questions, appointment booking, handover. The technology is that of a chatbot plus speech recognition and text-to-speech: the language model at the core is the same, only running inside a phone call.
